For stokvels
Membership forms, contribution records and claim forms, filled in by members on their phones.
DocFilla lets a stokvel chair or treasurer send the club's PDF form to each member by email, who fills it in and signs on their phone, and every completed copy comes back in one place.
Nothing to print, and no photos of forms sent back on WhatsApp.
Start with a free accountHow it works from your side
- 1
Upload the club's form once
The membership form, the constitution's signature page, the contribution record or the burial society's claim form, as a PDF or a photo of the printed page. DocFilla finds every box.
- 2
Fill in the club's part and keep it as a template
The stokvel's name, its bank account for contributions and the meeting dates stay the same on every copy. Save the form as a template.
- 3
Send each member their own copy
Type in each member's name and email address. Every member gets their own copy, fills in their ID number, address and next of kin, and signs with a finger.
- 4
Collect signatures on a shared link
For a constitution or an attendance register that everyone signs, make one shared signing link and paste it into the group. Whoever opens it gives their name and claims the next signer box.
- 5
Keep the completed copies together
Each completed form comes back as its own document under the chair's or treasurer's account. Download the PDFs for the club's records, or for the bank when it asks.
What you can send today
Templates
Keep a form you send often. Fill in your part once; it stays locked on every copy you send.
Send for completion
Each person gets their own copy by email and completes every field marked for them before it comes back.
Shared signing link
One link for a register or attendance sheet: whoever opens it gives their name and claims the next signer box.
Signing rounds
Send specific fields on one document to several people, at once or in turn. Anyone can pass with a note instead of signing.
Fill and sign on a phone
Links open in the browser. Nothing to print, scan, or install.
Scans and photos work
A photo of a printed form is read the same way as a PDF, one character per box where the form has boxes.
Back in your Documents
Every completed copy comes back as its own document, with a flattened PDF to download for the file.
Encrypted
What people fill in is encrypted under your key before it reaches the database, and is never used to train AI.
Deleted on your schedule
Delete a document right away, after 24 hours, after 7 days, or keep it until you remove it.
Not yet
So you know before you start:
- Members need an email address to receive their own copy of a form. Only a shared signing link can be pasted into a WhatsApp group, and it collects signatures, not a whole form.
- DocFilla does not collect contributions or keep the club's money records. A contribution record is a form you fill in, not a ledger.
- There is no member database. The member register is one completed form per member, kept in your Documents.
- DocFilla collects the form, not attachments such as copies of ID documents or death certificates.
Questions people ask
- How do stokvel members fill in a membership form online?
- The chair or treasurer uploads the form to DocFilla, fills in the club's details and sends each member their own copy by email. Members open the link on their phones, fill in their details, sign, and the completed copy comes back to the sender.
- What does a bank need to open a stokvel account?
- The banks ask for the stokvel's written constitution, the minutes or resolution in which members decided to open the account and named the signatories, and the identity documents of those signatories, usually two or three people. Opening deposits and the rest of the list differ from bank to bank, so ask yours before you start. DocFilla fills in the forms; you bring the documents.
- Can members sign the constitution on their phones?
- Yes. Make a shared signing link for the signature page and paste it into the group. Each member who opens it gives their name, claims the next signer box and signs with a finger.
- Do members need email?
- To receive their own copy of a form to complete, yes. A shared signing link needs no email: it opens in the browser and asks for a name.
- Is members' personal information safe?
- What members fill in is encrypted under the sender's key before it is stored, and it is never sold or used to train AI. The chair or treasurer decides when the completed forms are deleted.
- How do we submit a burial society claim?
- Fill in the society's claim form in DocFilla, or send it to the bereaved member to complete, then download the completed PDF and submit it to the society with the supporting documents it asks for.
