Fill in a rental inspection checklist online

Upload the move-in or move-out inspection form and DocFilla fills the property, landlord and tenant details. Tick the condition of each room on your phone and both of you sign.

The Rental Housing Act expects the landlord and the tenant to inspect the property together before the tenant moves in and again when they leave, and to record the condition in writing. The checklist is the record that decides what comes off the deposit. DocFilla fills the people and the property, lets you tick room by room on your phone, and lets both parties sign.

How it works for this form

  1. 1

Upload the agency's or landlord's inspection form. Long tick-box grids are read row by row.

  2. 2

The property address, the landlord's or agent's details and the tenant's details fill from My details. Walk through the property and tick the condition of each item.

  3. 3

Both parties sign on the phone, in turn or on a shared signing link, and each keeps the PDF with the lease.

What the form asks for

  • The property address and unit number
  • Landlord or agent, and tenant, with contact details
  • Date of the inspection and whether it is move-in or move-out
  • Room by room: walls, ceilings, floors, windows, doors, lights and plugs, with the condition and notes
  • Kitchen and bathroom fittings, geyser, stove and any appliances included
  • Keys, remotes and access cards handed over
  • Meter readings for electricity and water
  • Signatures of both parties and the date

What to attach

  • Dated photos of each room and any damage
  • The previous inspection report, for a move-out
  • Meter photos

Mistakes people make

  • Doing the inspection alone and asking the other party to sign later. The point is a joint record.
  • Ticking 'good' for a room nobody looked in.
  • Leaving out meter readings, which turn into a dispute over the last bill.
  • Not keeping the photos with the report.

Questions about this form

Can the tenant and I both sign the same checklist?
Yes. Send the signature fields as a signing round, or make a shared signing link and open it on the phone of whoever is there.
Does the checklist have to be in writing?
The Rental Housing Act requires the joint inspection and a written record of defects; a signed PDF is a written record. Keep it with the lease and the photos.
Can I use the same checklist for every property?
Keep the agency's checklist as a DocFilla template, with the agency's details filled in, and send a copy for each inspection.
